Summary Statement

Supports Operations Management with various activities for AARP Foundation, including the maintenance and/or implementation of facilities, space management and enterprise-wide guidelines, processes and policies. 

The Operations Analyst will exercise operational latitude to accomplish assigned work duties and responsibilities. Work assignments directly contribute to the achievement of departmental/team goals and objectives.

 This position will provide counsel, support and information to Operations Manager, Foundation Business Operations, to aid in decision making. 


Responsibilities

  1. Identify and resolve issues; conduct research to find alternative solutions; make recommendations, and assist in the implementation of such.

 

  1. Implement, manage and monitor special projects within assigned area of responsibility; prepare and present reports and trainings; create streamlined administrative procedures.

 

  1. Coordinate and collaborate with departments, divisions and outside agencies; provide information and serve as a resource. Plan, organize, schedule, and on occasion attend meetings, conferences and outreach events.

 

  1. Attend and participate in Enterprise-wide projects; stay abreast of new developments within assigned area of responsibility (such as: Business Continuity, Records Information Management);

 

  1. Serve as point of contact for Human Resource reports, requests, and information. 

 

  1. Oversee space management and employee setup for current and incoming employees, temps and interns

 

  1. Assist with Sharenet maintenance and upkeep

 

  1. Provide One on One training to FDN staff (time sheet management, travel portal, expense statements and reimbursement, travel authorizations and expense approvals) requiring knowledge of and a full understanding of all policies and procedures.

 

  1. Research, write and distribute the Business Group newsletter

 

  1. Work closely with the business group SVP to schedule team meetings, leadership meetings and informal gatherings for the business group.

 

  1. Provide lease management oversite.  Responsible for maintaining lease application program used to manage Foundation leases

 

  1. Facilities management – Assist in maintaining FDN assets; responsible for ordering and managing kitchen supplies; assist in management of all conference rooms

 

  1. Demonstrates AARP Foundation Core Values and Guiding Principles and ‘One AARP’ attributes and behaviors in all interactions

 

  1. Other duties as assigned

Requirements

Bachelor’s degree or equivalent and 3 or more years of job related experience.

Proficiency in using contemporary software programs in the completion of duties and responsibilities required. 

Requires excellent oral and written communication skills; excellent interpersonal, presentation and partnership development skills.   

Position requires an aptitude for problem solving.

Demonstrated ability to effectively participate in cross-functional teams to meet business objectives and influence co-workers and business partners in fostering strong working relationships.

Team player, dedicated to excellent customer service for internal and external customers.

 

Knowledge of PeopleSoft, Microsoft Office Tools and Navigator preferred.
